About Us

King’s College London, a research-intensive, Russell Group university is located in the heart of London with campuses at the Strand, Waterloo, Guys/London Bridge and St Thomas’/Westminster Bridge.  The Office of the Chair and College Secretariat manages the effective operation of the University’s topmost governance structures, working closely with the Vice-Chancellor and their senior executive team. The Office is located at the Strand Campus.

About the Role

Reporting to the Senior Governance Manager, the Governance & Operations Assistant will assist with the management of office operations, including non-pay budget tracking and maintenance of accounts. The post-holder will also assist the governance management team in supporting the Council and committee governance structure, particularly with meeting management – including taking minutes, and assist with senior events management.

Specific responsibilities include: payments of invoices, assisting with procurement exercises, planning and organisation of staff away days and training, web page upkeep, equipment and office supplies inventory, finalising and distributing meeting material, maintaining membership and contact lists, taking meeting notes and drafting minutes, issuing event invitations and attending events.

The role requires tact, discretion and the ability to interact with high profile individuals serving on Council and its committees, as well as working well within a time to deadline.

This is a full time post, and you will be offered an indefinite contract.

About You

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Undergraduate or equivalent.
  2. Experience with the University’s finance and accounts systems or similar systems in another large organization.
  3. Excellent oral and written communication skills, including demonstrated ability to write accurate meeting minutes and edit meeting materials.
  4. IT literacy across the Microsoft Office suite.
  5. Demonstrated ability to interact with senior management and distinguished independent members.
  6. Rigorous, analytical approach with an eye for detail.
  7. Ability to work independently on operational processes in a time pressured environment, as well as to work in a team, exercising initiative as needed.
  8. Demonstrated commitment to a high service standard.

Desirable criteria

  1. Experience assisting with high profile events.
  2. Experience working in a higher education or governance environment.
  3. Experience working within a large, highly decentralised institution
